School Booking Policy 2025/26 Academic Year

This policy sets out how we, Warner Bros. Studio Tour London – The Making of Harry Potter, offer educational bookings for schools based in the UK only and any other educational services whether these are goods, services, or digital content. There are additional terms which apply depending on what kind of educational product you are purchasing. Please read this policy carefully before you submit your order to us. This policy tells you who we are, how we will provide products to you, how you and we may change or end the contract, what to do if there is a problem and other valuable information.

Eligibility for Education Pricing Tickets to the Studio Tour

As part of our commitment to education, we offer subsidised tickets for the Studio Tour, known as education pricing tickets, for students in full time education in educational establishments that are registered with the Department of Education in England, Wales, Scotland, and Northern Ireland, such as schools and colleges.

To qualify for education pricing tickets, students within the group must be part of a Department of Education (DfE) registered primary school, secondary school, further education college.

Organisations will be required to provide their DfE number or equivalent to verify eligibility for these subsidised tickets. Ticket prices for eligible organisations can be found here.
We can provide education pricing tickets to the following organisations within the UK:

  • Community Schools controlled by the local authority
  • Academies
  • Grammar Schools
  • Free Schools
  • Private Schools
  • Foundation Schools and Voluntary Schools
  • Special (SEND) Schools
  • Further Education Colleges 1

1 Further Education Colleges can make bookings for students up to the age of 19. Any students aged 20 or older will need to pay standard pricing. Students on Higher Education courses are not eligible for education pricing.

Exchange students can be added to a standard school booking, but they are not eligible for school pricing, they may attend with the schools above but will be charged according to standard pricing.

Warner Bros. Studio Tour London reserves the right to charge the full-price entry rates to any person not able to provide appropriate proof of entitlement to any discounted ticket rate claimed for each person to be admitted under the ticket (for example staff ID of the lead teachers or proof of home education status).

If you are a third-party provider, you may not book tickets or make payment on behalf of a school. We only accept bookings made by a teacher or administrator at the school. The school, the school’s trust or a local authority can submit payment. If you are a third-party provider, you may make a booking on behalf of a school via our approved travel partners, who can invoice you and provide a hold period.

We may cancel any bookings found to be made by an unauthorised person on the school’s behalf.

We may cancel a provisional or paid booking before your visit if you are found to be in breach of this policy or otherwise in breach of our booking terms and conditions, such as booking through an unauthorised company, booking more tickets than our maximum allowance of tickets (110) or making more than one booking for the same visit date.

We reserve the right to cancel or refuse entry to any group who have not paid for their trip by the payment due date provided.

The Studio Tour’s Visitor Services Team reserve the right to refuse future bookings from an organisation who do not pay for their trips on time or make multiple provisional bookings which are cancelled.

Education Pricing Tickets

Education pricing tickets are only available on selected off-peak weekdays. Education pricing tickets are not available at weekends, bank holidays or school holidays. A full list of eligible dates and prices can be found here.

The calendar does not provide availability; it only shows which dates education pricing tickets are provided. All tickets are still subject to availability and ticket prices are subject to change.

UK schools organising a trip outside of school term time, such as summer clubs, do not qualify for education pricing tickets but may be eligible for a payment hold period if all students are based in the UK and are usually in full-time education.

Education pricing tickets and other activities are subject to availability and must be booked at least six weeks prior to the visit.

Tickets are valid only for the date and time allocation stated upon them.

Education pricing tickets include one digital download image per student and teacher at the broomstick green screen experience, should you choose to take part in this. After taking part, the lead teacher will be provided with a QR code which will contain a download of each image. This QR code is valid for 45 days from your visit and your photos will be available for this time only. After 45 days all photos and videos are permanently deleted.

Tickets are non-transferable to other persons or other Studio Tour experiences. If any person attempts to enter our attraction with a ticket that has been resold without written consent, we will refuse entry, and no compensation is payable to that person.

Education pricing tickets cannot be used in conjunction with any other offer, promotion, discounts, or third-party payment methods.

To support students with additional needs, schools and groups can request one essential companion ticket for adults who are supporting students with Special Educational Needs or as part of an Alternative Provision, such as a Pupil Referral Unit, free of charge. To ensure the correct supervisory ratios are applied, we request proof of entitlement for each essential companion ticket on your booking, ahead of your visit. We accept either of the following:

  • A signed letter from the school headteacher on headed paper confirming the students listed are on a EHCP plan and require 1:1 care
  • A scan of the first page of the EHCP per child requiring 1:1 care *

*You can cover the second name and image of the student for data protection.

Any schools who do not submit proof in advance of their visit will be asked to provide this on arrival, which could cause delays. Failure to provide proof of entitlement will mean the school will need to pay for a standard price adult ticket to gain entry, no refund will be provided by us post-visit.

Due to the popularity of education pricing tickets, we allow one booking per school per day. You may not make multiple bookings for the same visit date and any additional bookings will be cancelled. You may not exceed the maximum allocation of tickets.

If a school makes a request for a single student or a group of students, with only one teacher attending, we request that the school provides a signed letter by the headteacher on headed paper, to state that the teacher is DBS checked, and both the school and parents are aware that the trip is taking place with only one teacher.

Any additional adults beyond our designated supervisory ratios must be paid for at our standard adult rate.

All adults must have a valid ticket to be granted access to the Studio Tour as part of the school or group booking, whether free or paid-for, prior to arrival.

We are a capacity-based attraction and education pricing tickets cannot be purchased on arrival. If you have made payment and settled your booking and require additional tickets between payment and your visit date, you must contact our Visitor Services Team on 0800 640 4550, prior to setting off from school to check if additional tickets can be provided, this also applies to free tickets such as free carer tickets or free teacher tickets. Even if you believe you are eligible for more tickets, this availability needs to be confirmed by our Visitor Services Team to avoid disappointment on arrival.

Any teachers or students who arrive on site without tickets are not guaranteed tickets. Anyone without a ticket will be asked to wait off-site. If there is any availability, you will be charged standard pricing and are not eligible for a refund or education pricing discount.

Please arrive at the Studio Tour 30 minutes before your lesson time (if one is booked) or 30 minutes before your ticket entry time if no lesson is booked, to enable enough time for you to collect and distribute your tickets and go through security checks in time for your tour or lesson.

Lessons

Each classroom can fit a maximum of 55 visitors including all students, teachers and essential companions; we cannot exceed this number for health and safety purposes.

To book a lesson, you must have a minimum of 20 students attending. If you make a larger provisional booking and reduce to less than 20 tickets, you may have your booking cancelled and/or rebooked to a session which does not include a lesson, which will alter your entry time. The only exception to this is for Special Educational Needs and Disabilities (SEND) schools, which support children with complex learning difficulties or disabilities beyond mainstream provision.

We only allow one lesson booking, per school, per day. Two classrooms are available per timeslot; both or one classroom can be booked by the school. Two separate subjects or lessons can be booked for each classroom as long as they are booked for the same timeslot. You can request to have two separate subjects, if your booking includes more than 55 students and teachers in each classroom.

Lessons are included in the price of your booking but remain subject to availability at the time of booking. This must be requested at the time of booking as this will dictate your entry time options.

If you have made a provisional school booking, without a lesson and then wish to add this, your current booking will be cancelled and replaced including a lesson, if available. Upon booking you will be provided with details of the start time of your lesson.

If a school books a lesson and does not attend, our Visitor Services Team reserve the right to refuse future bookings from your school. Only book a lesson if you plan to attend. Please plan to arrive in time for your lesson or tour time; if you arrive late, we cannot guarantee entry. If you are running late, please contact our Visitor Services Team on 0800 640 4550 as soon as possible

Due to the nature of the Studio Tour, the lesson must take place before your tour entry. We can not accept requests to enter the Studio Tour and then end with your lesson.
If you have a lesson and you are running late, we may offer a shortened lesson, where possible, but you will not be able to have a lesson if this causes delay to the next group. We are unable to provide any alternative lesson if you miss your allocated timeslot.

You can request a different subject or lesson for your visit; you must request this at least two hours before your visit by contacting our Visitor Services Team on 0800 640 4550.

Our lessons are designed for specific learning key stages, which are listed on our website. If a particular lesson is not suitable for the age of the students attending, but fits your purpose for the trip, please email our Learning Team on learning@wbstudiotour.co.uk to see if the lesson can be adapted and they will advise further.

Invoicing, Hold Time and Payment

We provide you with up to 12 weeks to submit payment in full, with full payment required at least two weeks before the date of your visit. This allows teachers to:

  • Confirm that the school authorises the trip
  • Confirm the date and time are suitable
  • Arrange transportation
  • Send permission letters to parents/carers
  • Collect payment from students
  • Confirm number of students requiring 1:1 care
  • Adjust the number of tickets booked
  • Prepare payment

We are unable to provide extensions to your payment due date, and tickets will be cancelled if proof of payment or payment has not been submitted by the payment due date provided.

We provide an invoice directly to the teacher or administrator who makes the booking or booking request, which will contain the breakdown of the booking, payment options, your payment due date and our company information. We advise that this invoice is only passed on to a finance team for payment once the person who booked the tickets is happy with the final numbers on the booking. Once payment has been submitted, all tickets are non-refundable and non-transferrable.

The invoice will be sent in email form, and the breakdown of your booking and other essential information will appear in the body of the email, there are no attachments. We understand that some school systems operate differently and need the invoice to be sent in PDF form, which our system cannot generate at the time of booking. A PDF form of your invoice can be sent, upon request, by emailing learning@wbstudiotour.co.uk with your booking reference.

An updated invoice will be sent to the main contact on the booking with every change. It is your responsibility to ensure that these updated invoices are being shared with your school’s finance team. If an old invoice is paid but numbers were reduced by the teacher and not communicated to their finance team, no refund will be given for the discrepancy.

The invoice billing address will be for the school who is attending as standard, if your school is part of a trust and your finance team require a different billing address on the invoice, please email learning@wbstudiotour.co.uk

All education pricing tickets must be booked and paid for at least two weeks before the date of the trip via one of the following ways:

  • BACS or faster payment; you must include your booking reference number with the payment for us to match the payment to your trip. We also require a copy of your payment remittance or payment detail report sent to learning@wbstudiotour.co.uk as soon as payment is submitted. Failure to do so may result in us being unable to identify your trip as paid-for and may result in delays to your visit
  • Debit or credit card: please contact our Visitor Services Team on 0800 640 4550 to make payment in this way and quote your booking reference number
  • Cheques: please send this to our address as stated on the invoice. Please note, if you are paying by cheque this will need to be received within your holding period and no later than ten days before the visit date

We do not accept cash payments and we do not provide additional tickets on the date of your visit. If you require additional tickets, you must call our Visitor Services Team on 0800 640 4550 prior to arrival, tickets are subject to availability. If you are told that we are sold out and bring additional students or adults, they will not be allowed entry and will be asked to wait off-site.

We are unable to send payment links and are unable to support requests for this payment method.

Supplier forms
We are unable to complete supplier request forms on your behalf, any information required can be found on the invoice you are sent when booking. If you require a copy of our risk assessment information or public liability insurance, please email learning@wbstudiotour.co.uk. If you are unable to fill this form yourself, please explore our alternative methods of payment.

Purchase orders
We do not operate a purchase order system and therefore cannot add any purchase order numbers to our invoices. If you cannot proceed without this, you will need to use an alternative method of payment.

Statement of Account
We do not send out end of year statements for school bookings. If your finance department requires this, please send the reference numbers for all of your bookings to learning@wbstudiotour.co.uk and we can send you copies of the booking confirmations, VAT receipts or invoices.

Risk Assessments and Pre-Trip Planning

It is the responsibility of the educational organisation booking the trip to ensure that they have everything they need to plan for their trip, accordingly, including any risk assessments they are required to complete ahead of the trip. We have also created a risk assessment guide and booking guide. Please note, these should not replace your own risk assessment.

We provide up to two teacher planning visit tickets once payment has been received (once you have been sent your final booking confirmation email). These tickets can only be used by two teachers attending from the same school; valid photographic schoolteacher ID will need to be shown by each teacher to collect these tickets. If you do not have photographic school ID, then you may show a redacted and recent (within the last three months) payslip along with a form of Photographic ID like a driver’s license or passport.

Teacher planning tickets come out of a separate allocation of tickets, so we will try and accommodate your visit on short notice due to the needs of teachers to visit on weekends or outside of term time. Teachers are welcome to purchase additional tickets for any family members to attend with them, but this is subject to general availability. You may not use the second teacher planning ticket for a family member or child, and anyone arriving on the day of the pre-visit without a paid ticket already purchased will be turned away.

If you are no longer able to attend your planning visit, please let us know prior to the time stated on your planning ticket. Our Visitor Services Team reserves the right to charge a £10 administration fee to groups who book teacher planning tickets but do not attend without informing us.

If You Need to Alter or Cancel Your Booking

Education tickets are non-refundable and non-transferrable once payment has been submitted. We provide up to 12 weeks for schools to confirm numbers, send out permission letters, collect funds and confirm the details of the booking. Within this hold period, we can change the booking, subject to availability. We do not recommend paying your invoice until you are happy that no changes are needed.

We do not offer refunds for any students or paying adults who are unable to attend on the day of a trip. We do not offer refunds for any carers or teachers who paid for tickets if this was not declared at the time of booking or during the payment hold period.

Once a booking has been paid, the only change we can make is to the subject/lesson, if one has been booked. Once payment has been submitted, you may not reduce numbers, change the date or cancel the booking.

Cancellations or Alterations Due to Adverse Circumstances or Weather

If adverse weather is predicted, you can alter the date of your planned visit to another date within the same or following academic term, subject to availability. You must contact our Visitor Services Team at least 24 hours before your visit if you believe your school will not be making the journey due to the weather. In this instance, “adverse weather” is defined as predicted weather that results in a Red Weather Warning or above by the MET Office: https://www.metoffice.gov.uk/ No refund, partial or otherwise shall be provided if fewer students are attending on the rescheduled trip than previously booked.

Closures

If the Studio Tour is required to close for any reason, you will be notified as soon as possible by the Visitor Services Team, who will work with you to find alternative visit dates within the same or following academic term or offer a full refund if a suitable rebooking date is not possible.

Staff Availability

If the Studio Tour Learning Team are unavailable to deliver pre-booked lessons, for example due to sickness, you will be contacted as early as possible. We will work with you to find alternative activities or visit dates in the same or following academic term if you wish to postpone your visit until a lesson can be offered.

In the unlikely event that we are required to alter or cancel a booked educational trip for any other reason than those stated above, you will be notified as soon as possible, and we will work with you to find alternative visit dates for the same or following academic term.

We will offer a full refund of a school booking if rebooking is not possible. We are not responsible for any third-party costs incurred because of any cancellation and are unable to provide a refund for any pre-paid goods, such as pre-purchased food.

If there is an evacuation from the Studio Tour for any reason, your school will not receive a refund if you decide to leave, unless we are unable to re-open the Studio Tour.

Supervision of Students During Educational Visits to Warner Bros. Studio Tour London

All students aged 15 years or under must always be with a supervising adult whilst in the Studio Tour, without exception. To support this, the Studio Tour offers free tickets for supervising teachers and 1:1 essential companions. We offer one free teacher for every five primary school students and one free teacher for every ten secondary school students.

This follows safeguarding advice set by the UK government. Schools can bring less teachers in accordance with their own safeguarding/risk assessment plans but will need to pay for additional tickets if more adults are required and these adults are not essential companions.

Any students who appear to be unsupervised within the Studio Tour will be stopped until a supervising adult has been located.

Students aged 16-19 years do not need to be with an adult at all times, but school staff must be in the Studio Tour and contactable whilst the students are on-site, and at least two members of teaching staff must be in attendance during any pre-booked lessons.

It is the responsibility of the school/education provider to ensure that you can bring enough appropriate adults with you to adequately supervise the students on the trip. This is to ensure both the safety of the students and to maximise the educational opportunities on the trip.

As a minimum, all education trips must include no less than two supervising adults. Please contact our Visitor Services Team by emailing learning@wbstudiotour.co.uk if you are unable to meet this requirement. We will not accept bookings for groups who intend to bring fewer adults than this and you will be refused entry to the Studio Tour on the day of your visit if you do not fulfil these requirements, and no refund will be given.

School groups must arrive and enter the Studio Tour together with the designated lead teacher. Every educational trip must include a lead teacher from the education provider, regardless of the age of the students, and that person must remain at the Studio Tour for the duration of the visit.

Students will not be permitted entry without a supervising adult, even if the students are aged over 16. School groups will be given a coloured wristband which all students and teachers will be required to wear for the entire time they are on site.

Upon arrival the lead teacher will be asked to provide a contact telephone number for the visit, should we need to contact them for any reason in relation to that trip that day. These details will be destroyed at the end of the day.

The lead teacher is responsible for ensuring that all students know who will be supervising them on the trip, the standard of behaviour expected of them and what to do in the event of an emergency. They are also responsible for ensuring that all other supervising adults on the trip are aware of who they are supervising, the standard of behaviour expected of them and the students and what to do in the event of an emergency.

If anyone in the group is found to be behaving in a way that is disruptive, aggressive or compromises the health or well-being of our staff or other visitors, the lead teacher will be called on the telephone number provided and asked to meet the group in question. The school management will be contacted and your whole group may be asked to leave. In these instances, if we feel that the lead teacher has not put in place adequate supervision requirements, and you have been asked to leave, no refund will be given.

Coach drivers are eligible for a free coach driver ticket for the Studio Tour on the date of the school visit, up to a maximum of two coach drivers per school booking. This will only entitle them to entry to the Studio Tour and not any of the extras included with education pricing tickets. To collect tickets, coach drivers need to take note of their group’s reference number and take this, along with their coach driver license to the ticket window, after their group has entered the Studio Tour.

Shuttle Bus, Coaches and Separate Travel

On arrival, our Car Park Team will provide instructions of how to collect your tickets. Please note that these instructions may be different to those received on previous visits, if you have visited before. If your school is arriving on the shuttle bus, your lead teacher will need to collect your tickets from our Ticket Window.

Coaches

Dedicated coach parking will be made available for groups visiting the Studio Tour free of charge. We do not accept responsibility for the loss, theft, or damage to any vehicle (or its contents) while parked within our property.

During super peak dates, it may not be possible for your coach to remain on site for the duration of your time inside the Studio Tour, the Car Park Team will advise on arrival. We do not recommend arriving more than 30 minutes before your Studio Tour entry time, and any early arrivals may be turned away from the coach park until closer to your entry time.

A valid booking confirmation must be shown by the driver on arrival, please have a copy of this per coach if you have multiple coaches arriving. Coach spaces do not need to be booked in advance.

A coach driver’s room and toilets are adjacent to the coach park and are available to use during the school’s time on-site.

Cars and Minibuses

Parking for cars and small minibuses (16-seater or less) can be located in our standard car park, please follow the instructions of the Car Park Team on arrival.

Shuttle Bus

Schools are welcome to use our shuttle bus service from Watford Junction station and back, which is free for all visitors. Your booking confirmation email must be shown to the bus driver to use the shuttle bus, and we advise adding adequate travel time to your arrival time.

Schools will be asked to join the queue for the shuttle bus, like all other visitors. The bus will leave the station when it is full, which means your entire group may not fit on one bus, please factor this into your travel plans. The bus driver will let you know how many spaces remain, so you can opt to wait for the next empty bus or split your teachers across smaller groups.

Students may not use the shuttle bus service without a teacher accompanying them. Parents/carers without a valid ticket to the Studio Tour cannot board the bus to drop off or pick up students.

If you have a lesson booked as part of your visit, please note that the first shuttle bus of the day will not arrive in time for the 09:30am lesson slot – please book a later lesson time if you would like to use the shuttle bus.

Separate Travel

Parents/carers may drop off or pick up students by car or by public transport and must be met by a teacher at the Studio Tour car park entry gates. Parents/carers cannot wait on-site during the trip. Students will not be allowed to leave site without being escorted by a teacher.

Health and Safety, Asset Protection and Security

Whilst on-site, you must ensure that all members of your party always abide with all health and safety signage, and all instructions given to them by our team members.
Our management reserve the right to require your group to leave our premises if they consider that any member of your party is acting in breach of this requirement. In such circumstances, no refund shall be given.

No visitors to the Studio Tour may go into sets, or touch props or costumes for any reason, any touchable or interactive assets will be outside of protective barriers.

All visitors will be subject to a bag and personal search (via arch detectors) on arrival to the Studio Tour. Certain items are prohibited from entering the Studio Tour; including knives and bladed weapons, alcohol, illegal drugs, CS/pepper spray, scissors, cutlery, compasses, or anything which could be considered a security risk. Items found will be confiscated, and illegal items will not be returned. A full list of our prohibited items can be found on our website.

If a student or teacher has a medical condition which may be affected by search equipment, please email learning@wbstudiotour.co.uk before your visit.

No smoking; No pets or animals except for guide dogs and hearing dogs; No consumption of food or drink outside the designated areas without our express permission; No offensive weapons; No access to any area of the Studio Tour other than areas designated for access by visitors; behaviour likely to disturb or offend other visitors or intimidate the Studio Tour team members; No use of illegal drugs or consumption of alcohol except in authorised places and in accordance with the Licensing Act 2003. No use of roller skates, skateboards, bicycles, children’s sitting toys, ball and frisbees.

We do not accept abuse towards any of our team members by students or teachers, from the point of booking until the end of your visit. If any issue arises, we ask you to request a team leader or manager on the date of your visit or prior to visiting to find a suitable resolution. Vocal or physical abuse to our team members will mean your school may not be allowed to book tickets to the Studio Tour in the future.

Access to, and Around, the Attraction

We reserve the right to refuse entry into or remove from the Studio Tour, any person. This includes but is not limited to a person who has behaved in a manner which, in the opinion of management:

  • Has, or is likely to, adversely affect the safety or enjoyment of other visitors
  • Has used threatening, abusive, or insulting words or behaviour or in any way provokes or behaves in a manner which may provoke or disturb the peace
  • Is or appears to be under the influence of drugs or alcohol

Responsibility for Belongings

We are not able to store any packed lunches or bags brought by groups during their visit. Any items which cannot be carried for the duration of their tour should be left behind on the coach. Please note, due to the one-way nature of the Studio Tour, it is not possible to return to your coach until the end of your tour.
